The Role: Exhibition Sales Manager

Reporting to: Head of Entertainment, Exhibitions & Marketing

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

  • Responsible for identifying and approaching prospective exhibition organisers with a view to bringing new events to Aberdeen
  • Producing fully costed proposals and bids in order to secure new business
  • Working closely with existing clients to develop and grow existing content/revenue
  • Working closely with operations to maximise exhibition revenue through additional services
  • Responsible for devising and implementing a Sales Plan to meet agreed targets in exhibition sales
  • Assisting with the setting of strategy and annual budgets for exhibition sales
  • Monitoring and analysing the sales targets across the exhibition market and implement remedial actions
  • Working proactively to retain and further develop relationships with a number of key accounts
  • Actively promoting the venue, conducting presentations, client entertaining, networking and site visits
  • Ensuring that all sales are accurately contracted and invoiced, liaising with Finance to ensure receipt of payments
  • Maintaining relationships with clients by providing support, information, and guidance; researching and recommending new opportunities; recommending profit and service improvements
  • Preparing reports by collecting, analysing, and summarising information
  • Maintaining professional and technical knowledge by attending educational workshops, reviewing industry publications, establishing personal networks, benchmarking best practices and participating in industry steering groups and/or boards
  • Working collaboratively with PR & Marketing on all market sector campaigns and promotions

The Role: Box Office/Ticketing Manager

Reporting to: Head of Entertainment, Exhibitions & Marketing

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

  • The main point of contact for concert promoters and event organisers when activating new on sales
  • Delivering outstanding customer service and sales standards in the box office
  • Monitoring levels of service offered by casual box office staff, addressing any problems immediately
  • Administering accurate information regarding current and future events to the general public, concert promoters, event organisers, ticket agents and ticketing services
  • Being the main point of contact for customer complaint resolution and escalation
  • Ensure that ticket are sold in such a way in order to generate maximum revenue for the venue and the event
  • Ensure that approved sales channels have access to tickets, where appropriate and that the ticketing inventory is managed to maximise sales
  • Liaison with the marketing, sales and hospitality team to ensure maximum sales and opportunities to ensure a cohesive service is provided
  • Maintain good relationships with key partners, promoters and ticket agents
  • Produce seating manifests in line with operational plans for each new event
  • Accurately document all ticket agent allocations and production holds for all concerts and ensuring records are updated with any changes.
  • To accurately process ticket sales (window, promoters & ticket agents)
  • Ensure the integrity of accounting procedures
  • Plan rotas and authorise timesheets for casual box office event staff

The Role: Hospitality Sales Executive

Reporting to: Head of Entertainment, Exhibitions & Marketing

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

  • Manage the sale of hospitality opportunities from contract stage through to live event activation and subsequent evaluation
  • Build a customer database of current and prospective VIP hospitality clients to target
  • Account manage all hospitality clients, through regular contact
  • Proactively make contact with high-level business clients, providing information and building relationships through effective communication, meetings and event attendance
  • Attend networking events locally in order to connect with potential clients and develop relationships
  • Work closely with Marketing to produce campaigns and collateral material used to effectively sell hospitality packages
  • Manage all enquiries, proposals and contracts for all hospitality packages
  • Liaise closely with the catering team to provide clients with catering package options and requirements
  • Conduct client presentations, prepare proposal documents and client contracts
  • Prepare live event materials including guest lists, tickets and wristbands as required
  • Manage or support live events on-site, as required
  • Maintain client data on EBMS; and all event budget planning
  • Manage customer feedback and analyse data
  • Develop the business over a 12-month period in line with strategic goals and sales targets

The Role: Marketing Executive

Reporting to: Head of Entertainment, Exhibitions & Marketing

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

  • Responsible for carrying out marketing and PR activities to ensure successful promotion of the venue to all sectors of the business and consumers
  • Working closely with the sales team to ensure all marketing material and literature is up-to-date
  • Managing all pre and post sales event/trade show communications in order to maximise the marketing reach and profile of the venue
  • Maintaining relationships with all industry media and trade publications providing news worthy content to maximise exposure of the venue
  • Dealing with media enquiries; proactive monitoring of stories and issues relevant to the market/audience
  • Booking all trade advertising and collating editorial pieces
  • Composing of press releases, communicating new business wins, ‘on sales’ and ensuring consistent messaging to the local business, industry communities and consumers
  • Composing of venue electronic newsletter for quarterly distribution
  • Work closely with AECC clients/event organisers providing local knowledge and advice with marketing campaigns, also getting insights in to event content for communication and distribution
  • Manage and update AECC website with new business events and blog posts as required
  • Assisting all departments with updating of company collateral
  • Management of PO’s for the department and updating the budget accordingly
  • Liaising with Tresamo; the venues social media agency. Advising of social media content to be used on all social platforms on a weekly basis

The Role: Venue Support (3 month temporary position)

Reporting to: Venue Support Supervisor

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

 Setting up halls, rooms and Arena to meet client requirements
 Building of stages
 Building of seating blocks
 Rigging in AECC halls and temporary structures if required; once trained and authorised to do so
 Building of shell scheme and/or bespoke stands on and off site when required
 Operation of forklift, access platforms, building of scaffolding; when trained and awarded “competency” certificates
 The set up of bars and shell scheme areas tailored to pre-planned layouts and plans
 The tidy up and maintenance of all catering operational areas
 Routine maintenance of buildings and equipment
 Reporting defects in property and equipment when discovered
 Cleaning as detailed
 Adhering to Health and Safety regulations
 Public safety control
 Administering First Aid (if qualified)
 Responding to clients’ needs
 Safeguarding and protecting Company property
 Making sure the service requirements are met for all ongoing business and large scale events
 Any other reasonable duties as required in the best interests of the Company
