The Role: Conference Bid Executive
Reporting to: Head of Conference Sales

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

 Maximise potential opportunities with associations and conference organisers by representing AECC through attendance at promotional events such as trade shows and other sales initiatives in the UK.

 Arrange regular sales appointment trips to visit potential conference clients.

 Create and manage AECC’s own sales missions with the aim of getting face to face with existing and potential clients in order to progress and secure new business.

 Maintain good client relationships through regular communication and events in order to identify and win new business for the centre.

 Work closely and in conjunction with AECC partners such as; VisitAberdeen, VisitScotland, Aberdeen International Airport and Aberdeen Hotels Association in order to produce destination focused proposals.

 Conduct client site inspections as required, and support the sales team on familiarisation trips and other events hosted by AECC, identifying potential clients to view the facilities and the destination as a whole providing them with a better insight in to what the venue and the city can offer.

 Attend to incoming customer enquiries (by telephone, email and via the AECC website) promptly and delegating, where necessary to other team members.

 To assist in the production of all relevant documentation needed for conference bid proposals.

 Monitor the progress of sales enquiries and chase contracts to conclusion, ensuring that sales procedures are adhered to.

 Utilise and input data into the AECC’s computerised event planning system EBMS, for the effective management of all events at the venue.

 Work closely with the conference sales team, identifying new leads and sharing ideas to help with the success of association business at the venue.

PERSON SPECIFICATIONS

Knowledge & Qualifications:

 A working knowledge of the industry within the UK and overseas markets

 Excellent sales and negotiation skills

 Proven experience in sales with a good record of achieving targets

Skills:

 Good organisational skills

 Should have excellent written and verbal communication

 Ability to work under pressure and to deadlines

Experience:

 Experience in working with clients to achieve and manage client expectations

 Previous experience in the event industry

The Role: Sales Executive (full time)
Reporting to: Director of Sales and Marketing

KEY DUTIES AND ACCOUNTABILITIES

Main Responsibilities:

 Input up to date and accurate client data, correspondence and new business into EBMS – AECC’s event management system – as appropriate

 To react quickly and efficiently to incoming sales enquiries, producing profit and loss information, costed proposals and contracts in order to secure new business

 Chase and monitor the progress of enquiries until conclusion

 Conduct on site client meetings and show rounds as required

 Work closely with the Director of Sales and Marketing, liaising with entertainment promoters providing tour availability and venue information (plans, manifests, etc.) in order to secure new business

 Instruct Ticketmaster of new entertainment business, providing all necessary information; plans, manifests and event pro-formas in order to get shows on sales accurately and on time

 Produce weekly sales stats and any other relevant reports for the senior management team

 Produce the weekly entertainment grid for the SMG weekly call

 Provide sales support to other sales colleagues as and when required

 Any other tasks as directed by the Director of Sales & Marketing

PERSON SPECIFICATIONS

Knowledge & Qualifications:

 Must be PC literate in Microsoft packages

 Must have excellent Microsoft Excel skills and experience

 Must have experience and working knowledge of using database programs such as Access, EBMS, Fidelio or similar packages

 Successful track record in a sales role

 Knowledge and understanding of the events industry

Skills:

 A self-starter, capable of working on their own initiative but also a great team player

 Strong organisational and presentation skills

 Attention to detail and accuracy is essential

 Good oral and written communication skills

 Tact, discretion and respect for confidentiality

 Pleasant and confident telephone manner

 A confident, personable person who will enhance and be part of the team at AECC

Experience:

 2 years’ experience in a Sales Executive role or similar

 Experience in database work or CRM systems/packages
